Administrative Experts

The Administrative Experts work under the coordination of the Greek authorities. The main tasks of each sub-profile are presented below. A full job description will be shared prior to taking up duties.

1. Administrative Officer (Location: Different locations in Greece)

  • Organise administrative procedures in order to ensure efficient operation;
  • Facilitate the timely implementation of administrative procedures;
  • Provide support in project coordination;
  • Support the collection, processing and validation of data from various sources;
  • Support the production of regular and ad-hoc reporting;
  • Draft project documents, project reports, specific reports and other documents;
  • Liaise internally and externally for the organization of meetings;
  • Liaise with staff and external stakeholders regarding routine procedures;
  • Draft documents, templates, minutes and reports;
  • Perform any other tasks in the interest of the service, relevant for the specific profile.

2. Administrative Assistant (Location: Different locations in Greece)

  • Implement data entry and routine administrative procedures;
  • Keep records and manage tools and databases;
  • Provide general administration and secretarial support;
  • Organise, scan, file and manage documents;
  • Register incoming and outgoing correspondence;
  • Provide project assistance/implementation support;
  • Perform logistic arrangements, purchasing, facilities management and maintenance tasks;
  • Maintain inventory and manage assets in the office;
  • Maintain and manage physical and electronic archiving, as appropriate;
  • Liaise with staff and external stakeholders regarding routine procedures;
  • Draft documents, templates, minutes and reports;
  • Perform any other tasks in the interest of the service, relevant for the specific profile.

Skill-sets and Requirements

  • Sound demonstrated previous experience in relevant tasks will be an advantage;
  • Fluency in Greek and in English (oral and written);
  • Computer literacy, including MS Office applications (Word, Excel), use of internet and web-based applications;
  • Very good intercultural/interdisciplinary communication skills;
  • Strong organisational, time management and planning skills;
  • Ability to work in a multicultural environment and under pressure.

Education & Experience

  • For Administrative Officer position: A University degree is required, whilst a post-graduate degree will be an advantage
  • For Administrative Assistant position: A University degree will be preferred and advantageous
