JOB DESCRIPTION

Position: Financial Manager

Contract Type: Part-time employment (15 hours per week)

Location: Thessaloniki

Starting date: asap

Duration: 3 months (trial period) with the possibility of extension

Report to: Country Director

BACKGROUND OF THE ORGANIZATION

IsraAID Greece, a non profit Hellenic organisation, works with refugees, asylum seekers and migrants helping them to overcome trauma, learn languages, cope and strengthen their wellbeing and resilience. IsraAID Greece works in two main areas, Thessaloniki and Lesvos.

SUMMARY

The Financial Manager is deeply involved in organizing, controlling and monitoring the financial resources of IsraAID Greece, to achieve organizational objectives.

The Financial Manager reports to and works closely with the Country Director and finance team in Israel.

BUDGETING AND PLANNING

Oversee long-term budgetary planning and cost management, including preparation of budgets
Ensure adherence to the annual budget of the country program and specific donor budgets
Assist with the preparation of project budgets
Suggests formats for financial reporting to aid financial statement users to better understand the contents of the reports for decision-making and strategic planning purposes
Present & facilitate review of actual to budget expenditures with Country Director, Program Director and Program Managers
Provide recommendations for budget realignments as required

FINANCIAL CONTROL AND MONITORING

Ensure compliance with the organization and donor regulations and procedures;
Establishing finance and supporting function policies, systems and procedures, and directing or performing their development, documentation, and implementation.
Review and account for procurement transactions to ensure adequate supporting documentation, accuracy of amounts and control over payments
Maintains the organization’s system of accounts ensuring all accounting data are updated, reconciled and fully supported
Supervise and ensure that the day-to-day financial management functions in the office are performed in accordance with internal policy and procedures, and in line with donor requirements
CASH AND TRANSACTION MANAGEMENT

The Financial Manager will support the financial activity of the organization on a day-to-day basis, including:

Manage the organization’s cash flows, prepare regular pipelines and expense reports
Prepare and execute bank orders as needed and oversee transactions
Ensure timely payment of financial obligations
Support payroll functions to ensure that employees and service providers are paid in a timely and accurate manner
Issue invoices and receipts to donors and other stakeholders
Work on reporting and reconciliation and provide all relevant information
Ensures maintenance of accurate records of financial transactions of the country office in order to monitor financial status of all project activities

FINANCIAL REPORTING

Provide accurate and timely reporting on the financial activity of projects and countries to donors, government and other external parties
Prepare internal reports and present them to management and HQ
Manages the finance department of the country office to meet the financial reporting requirements of in-country management and HQ; this function includes ensuring that all financial reports are submitted on or before the deadlines set and contain relevant information for all the users of the financial reports
Directs the preparation of all financial reports for external purposes in respect to accounting, legal and contractual requirements
QUALIFICATIONS AND FUNCTIONAL COMPETENCIES

Required:

University degree in Accounting, Finance, Business or another related field;
Demonstrated experience in financial management and accounting, ideally in the nonprofit sector;
Knowledge of Greek finance regulations, particularly those concerning NGOs;
Intermediate or higher working level of Excel; experience of financial software is desirable.

Languages:

Required: fluent Greek and fluent English
