Tdh Hellas is seeking to recruit a Senior Finance and HR Officer, who will be based in Tdh Thessaloniki offices.The Senior FIN/HR Officer will be carrying out financial, administrative, and HR management of the projects and Tdh structure in Thessaloniki base, minimizing financial and operational risks and ensuring compliance in terms of Tdh procedures and Donors guidelines.

The Senior FIN/HR Officer will be under direct line management of the Finance Manager and the HR Manager.

Key responsibilities:

Administration & Finance Management:

·         Budget Follow Up Focal point at base level ensuring updated information with efficient allocation of expenses on weekly/monthly basis while reflecting real and clear forecasts

·         Coordinate meetings with relevant departments in order to regularly monitor the financial performance of the projects

·         Contribute to drawing up the new project budgets in terms of labor costs

·         Ongoing project budget follow up with emphasis on human resources costs, forecasts and analysis. In collaboration with Finance Manager, verify global forecasts and assure eligibility of expenses

·         Ongoing project financial reporting in collaboration with the finance/administration coordination office

Treasury Management/Accounting:

·         Prepare the base treasury forecasts and prepare/send fund request to coordination for validation

·         Work in close collaboration with the project manager and the logistics department to ensure the treasury forecasts are done in accordance to the budget

·         Supervise the cash and bank management and ensure all payments to various parties are paid on time

·         In charge of base monthly accounting closing and closing pack transmission to the coordination

·         Organize and file all accounting documents as per Tdh rules

·         Manage the SAGA import and provide to coordination monthly accounting in respect to the deadlines

HR management:

·         Monitor the implementation of the internal regulation and ensure all policies are properly applied

·         In close collaboration with the HR Manager, implement and facilitate HR procedures & HR administration in North and central Greece bases including but not limited to employee hiring process, new employee induction, performance appraisal cycle, leave management, training plan, employee exit plan, archiving, security of Tdh personnel files and others.

·         Verify HR Database and payroll processing on monthly basis and collaborate with the accountant for the timely process of the payroll

·         In charge of Shifts rotation schedules follow-up ensuring all changes comply with local labor law.

·         Assist in internal/external audit (s) if required

·         Contribute to the implementation of all measures related to staff safety at base level (such as liaison with Occupational Doctor)

·         Follow-up on Staff care and private Insurance queries of staff

·         Direct supervision of Admin/Fin Assistant at base level

Other

·         Other related duties as requested by the needs of the Finance and/or HR department

Candidate profile:

·         University level degree in finance, business administration, HRM or related field is required

·         A post graduate degree in relevant field will be considered an asset

·         At least 2 years of professional experience in a similar position

·         Proven experience in financial reporting, budget follow up, forecasts and analysis

·         Proven previous experience HR hiring and payroll administration processes

·         Previous experience with an NGO is highly desirable

·         Outstanding organizational and time-management abilities

·         Excellent communication and interpersonal skills

·         Strong ethics and reliability

·         Commitment to workplace confidentiality

·         Excellent analytical skills with ability to detect and report inconsistencies

·         Proactive, resourceful, solutions oriented and results-oriented

·         Able to prioritize work, multi-task and meet deadlines

·         Able to work independently and quickly adapt.

·         Fluent in Greek and excellent level of English (oral, and written)

·         Advanced knowledge of Excel

·         Experience with information systems or proven ability to learn new systems quickly

·         Knowledge of SAGA, ERP or similar accounting system is highly desired
